Access NZ 2005 Ltd t/a Access | Partners in Property ("we", "us") is committed to protecting your personal information. This policy explains how we collect, use, store, and protect your information in accordance with the New Zealand Privacy Act 2020.

What Information We Collect

When you contact us, request a quote, submit a Maintenance Review enquiry, or otherwise use our website, we may collect:

  • Contact details, including your name, email address, phone number, and company name
  • Enquiry details, including your service interest, message, region, and project information
  • File attachments, such as photos or documents, where attachments are enabled and you choose to provide them
  • Employment application information if you apply for a role with us

When you submit an enquiry, we may also record attribution context to help us understand which marketing channels work and route enquiries correctly. This may include:

  • The source page or campaign page you submitted the enquiry from
  • The referring website or page that brought you to us
  • UTM parameters
  • Google Click Identifier (gclid)
  • Google broad-reach click identifiers (gbraid and wbraid)
  • Microsoft Click ID (msclkid)

If website analytics capture is enabled, we may collect a Google Analytics 4 client ID to help connect website activity with enquiry measurement. We also use honeypot and Cloudflare Turnstile checks to help prevent automated spam submissions.

Why We Collect It

We collect personal information to:

  • Respond to enquiries and provide quotes for our services
  • Deliver services you have engaged us for
  • Communicate with you about your project or account
  • Route enquiries to the Access | Partners in Property team responsible for your service area
  • Understand which marketing channels brought you to us
  • Improve our website, services, and enquiry process
  • Protect our website and forms from automated spam
  • Comply with our legal obligations

How We Use It

We use your information only for the purpose it was collected, or for directly related purposes you would reasonably expect. Enquiries are routed to the Access | Partners in Property team responsible for your service area.

We do not sell or rent your personal information. We share it only with the Access | Partners in Property team responding to your enquiry, our subcontractors where they are part of delivering services to you, and government agencies where required by law.

When you submit an enquiry, we record the marketing attribution context alongside your enquiry record so we can understand which channels brought you to us and route your enquiry correctly. You can disable cookies in your browser settings, although some website features may not work as intended.

Where We Store It

We store enquiry records securely on systems located in Australia (Sydney region) within our cloud provider's Oceania infrastructure. We take reasonable steps to protect your information from unauthorised access, loss, or disclosure.

How Long We Keep It

We retain enquiry records and related attribution context for up to 24 months from your submission, after which we delete or anonymise the data, unless we need to keep it longer to comply with our legal obligations.

Bot and Spam Protection

We use honeypot and Cloudflare Turnstile checks to prevent automated spam submissions. These checks help us protect the enquiry process and reduce unwanted or fraudulent form submissions.

File Attachments

If you choose to attach files (photos or documents), they are submitted with your enquiry. Storage configuration is finalised before go-live and attachments are retained alongside the enquiry record.

Your Rights

Under the Privacy Act 2020, you have the right to:

  • Request access to personal information we hold about you
  • Request correction of any inaccurate information
  • Request deletion of your information (subject to legal retention requirements)

You can also ask us to remove information we no longer need to hold, subject to any legal or operational retention requirements.

Recruitment information

If you submit a Careers enquiry, application or CV through the website, Access uses that information for recruitment purposes only. Recruitment information may be reviewed by Access staff involved in hiring and by service providers who help operate the website and email systems. Access keeps recruitment information only for as long as it is needed for recruitment and related record-keeping. You can ask to access or correct your personal information, or request deletion where lawful, using the contact details in this Privacy Policy.
